Time Management That Fills Your Cup

Have you ever reached the end of the week and wondered where your time went?

You had good intentions — to work on that project, make time to exercise, or carve out some creative time — but somehow the days filled up. Not with the meaningful things you hoped for, but with other people’s requests, minor tasks, distractions, or just plain busyness.

That’s what happens when we don’t plan our time with intention. It gets filled in with sand.

I love using Stephen Covey’s time management metaphor to help people create more meaningful, fulfilling weeks: Rocks, Pebbles, Sand, and Water.

Rocks

These are your top priorities — the activities that truly matter to you and take a solid chunk of time (usually an hour or more). They’re the foundation of a fulfilling week.
For me, Rocks include client sessions, planning and delivering art and coaching classes, creative work, exercise, and social interaction. These are the things that bring structure, purpose, and balance to my week.

Pebbles

Pebbles — or inchies as I call them, — are the little tasks that keep life running smoothly. They include things like admin, communications, housework, tidying up, and tending the pets. They’re important and necessary, but they shouldn’t dominate your calendar. The Pebbles can fit in around your Rocks, but shouldn’t displace them.

Sand

Sand is what creeps in if you’re not careful — time-fillers that don’t bring much value or joy. Think social media scrolling, internet shopping, unexpected interruptions, errands you didn’t plan, or people assuming you’re available simply because you work from home.

One of my clients recently realised his biggest source of sand was people dropping in to offload, or get help with something trivial, treating him as if he had nothing better to do. Allowing too much sand in can leave you feeling drained, frustrated and unfulfilled because nothing important is getting done.

Water

Water is rejuvenating – time to rest, potter, hang out with friends or loved ones, or just breathe. Water is the white space in the day the flows around the structure you create and keeps life moving at a gentle pace. A play with watercolours between clients, a cup of coffee sitting in the sun, or a conversation with a friend or loved one can be easy ways to add a little bit of joy into your day. 

The secret to intentional time use is simple: put your Rocks in first.

Start by opening your calendar and blocking out time for the things that matter most – scheduled appointments, projects you want to make progress on, time for self care and social connection. Then, write a list of your Pebbles (inchies). These can fit in around your Rocks. Leave some space for Water. Don’t over-schedule your day, allow yourself some time to breathe.

And finally: eliminate as much Sand as you can. Notice when it creeps in — usually when you’re tired, procrastinating, or unsure of what to do next. In those moments, doing the important-but-uncomfortable task you’ve been avoiding, or doing something that’s rejuvenating like going for a walk will leave you feeling far more satisfied at the end of the day.

When you map your week this way, you’re not just being productive — you’re honouring yourself in a way that supports your well-being. You’re structuring your week to be purposeful and fulfilling rather than just busy.
